Privacy Policy

1. Who we are

LeadPilot AI is a business-to-business outbound calling platform. It is used by companies to contact other businesses about their services. It is not intended for, and must not be used for, calling consumers or personal phone numbers.

2. What we store

• Client account data — company name, contact name, work email, phone number, plan, settings.
• Lead data uploaded by clients — business name, contact name, business phone, email, website, category, city, state, notes, and the client's declared source of consent.
• Call data — timestamps, duration, outcome status, a written summary, the transcript, and the call recording.
• Suppression data — phone numbers that asked not to be called, so we can honour the request.

3. Why we store it

To place the calls the client asked for, to show the client what happened on each call, to honour opt-out requests permanently, and to meet our legal and accounting obligations.

4. Who sees it

Each client sees only their own data. Our staff can see all data for support, billing and abuse investigation. We do not sell personal data, and we do not use it to train third-party AI models.

Call audio and text may be processed by the AI providers configured for the account (speech recognition, language model, speech synthesis) strictly to conduct and transcribe the call.

5. Recordings and transcripts

Calls are recorded so the client can review them. Every call opens with a clear statement that the caller is an AI assistant and that the call may be recorded. Recordings are stored on infrastructure controlled by the operator of this installation and are deleted according to the operator's retention schedule.

6. Do-not-call requests

If any contact asks not to be called again, the number is added to the suppression list immediately and is never dialled again from this platform, in any campaign, for any client. A request can be made during a call, by replying to any message, or by contacting the operator.

7. Your rights

You can ask for a copy of the data we hold about you, ask us to correct it, or ask us to delete it. Where a deletion request conflicts with the suppression list, we keep only the minimum needed to keep honouring your opt-out.

8. Security

Passwords are stored hashed. Access to client data requires an authenticated session. API credentials are held server-side only and are never sent to the browser.
